Annotating via multi reviewer files

The Multi-Review tool allows users to annotate a document simultaneously within DotApprove.  

 

Documents are converted into live files which allows users to annotate at the same time on the same document overall minimizing time the document is out for approval.

If the workflow has been sent to you using the multi-review tool, when you select the file you will only have the option to review online, select this and the file will open in a new tab in your browser.

Through the browser you can review and annotate the file using the tools along the top of the page.

File Annotation steps 

 

As an approver, you will receive an email similar to the one below asking you to review a task. Within the email, there will be a hyperlink that will take you to the approval screen. 

 

 

In your task screen, you will see the workflow instructions, other users who are also completing the task, as well as the documents attached for approval. Click on the file to be approved.

 

 

The file will open in another browser window. As this is a live file, you may see other users annotating the document at the same time as yourself. To annotate the document use the annotation tools at the top right-hand corner of the screen. 

 

The annotations you make will show up on the right-hand side of the screen. You can edit and reply to comments left by others while you're working on the document. If you wish to see a list of all annotations just click on the 'Show all Annotations' button. 

 

 

Once the annotations have been completed you can complete the workflow. Input your sign-off status along with your overall comments and complete the checklist if there is one. Once completed click 'Complete Task'. 

 

 

An email will now be sent to the workflow owner informing them you have completed your task.
