Multi-reviewer Tool

The Multi-Review tool allows reviewers and approvers to annotate the same document at the same time within DotApprove.  

 

Documents are converted into live files which allows users to edit and reply to annotations in live time. This speeds up the process of annotating files as reviewers don't have to wait for other reviewers to take turns to annotate. 

 

File Annotation steps 

 

As an approver, you will receive an email similar to the one below asking you to review a task. Within the email, there will be a hyperlink that will take you to the approval screen. 

 

 

In your approval screen, you will see the instructions left by the workflow owner, other users who are also completing the task, as well as the documents attached for approval. Click on the file to be approved.

 

 

The file will open in another Internet Explorer window. As this is a live file you will see other users annotating the document at the same time as yourself. To annotate the document use the annotation tools at the top right-hand corner of the screen. 

 

 

The annotations you make will show up on the right-hand side of the screen. You can edit and reply to comments left by others while you're working on the document. If you wish to see a list of all annotations just click on the 'Show all Annotations' button. 

 

 

Once you have completed your annotations, click on the upload (arrow) button on the far right-hand side of the toolbar to upload the amends to the server. 

 

 

Once clicked you will see a tick button appear, notifying you that your annotations have been uploaded successfully. 

 

 

 

Once the annotations have been completed you can sign off the workflow. Input your sign-off status along with your overall comments and complete the checklist if there is one. Once completed click 'Complete Task'. 

 

 

 

An email will now be sent to the workflow owner telling them that you have signed off the workflow.
